Questions about Quoting (FAQ)

Quoting and Invoicing

Can I quote in different currencies?
Yes. Osmos allows you to create quotes in multiple currencies. You can set your default currency and then choose a different one when creating a quote. Exchange rates can be entered manually based on your preferred conversion rate or company policy.

Does Osmos support automatic exchange rates?
No. Exchange rates are not updated automatically. You can manually define and update them inside Osmos whenever needed, giving you full control over the conversion used for each quote.

Can I generate electronic invoices (for Mexico, Colombia, Argentina)?
Not yet. Osmos currently doesn’t generate country-specific electronic invoices that comply with regulated systems like CFDI (Mexico), DIAN (Colombia), or AFIP (Argentina). These integrations are planned for release around 2026.

Can I use Osmos to send proposals?
Yes. You can create and send professional proposals using the same quoting interface. Proposals can include item details, descriptions, pricing, terms, and even images. They can also be saved as templates for future use.

Does Osmos offer electronic signature?
Yes. Clients can electronically sign quotes or estimates directly from the link they receive. Once signed, the signature is securely stored in Osmos and attached to the corresponding quote for reference and record-keeping.

Can I track inventory and stock while quoting?
Yes. Osmos includes a basic inventory tracker that lets you monitor item quantities and availability. You can update inventory levels manually and, in future versions (2026–2027), connect your ERP system so inventory updates automatically when a sales order is created.

Can I upload my product catalog or item list?
Yes. You can upload your entire catalog, including item names, descriptions, prices, codes, and even images. This makes it much faster to build quotes since you can select items directly from your saved catalog rather than typing details each time.

Can I manage multiple price lists or discounts by customer type?
Yes. You can set different prices, discounts, or markups per client or group. Osmos lets you apply discount rules directly at the item or quote level, and you can save preset prices for specific customer types or categories.

Can I include optional items, packages, or add-ons in a quote?
Currently, Osmos does not support adding optional items, packages, or add-ons as selectable options within a quote. Each quote represents a single, fixed list of items or services. This feature is planned for future development, but there is no confirmed release date yet.

Can I let clients accept quotes online and make a payment or deposit?
Yes. Clients can view, sign, and accept quotes online. If you connect your Stripe account, you can also collect payments or deposits directly through the same quote link. Payment confirmations are automatically recorded in Osmos.

Can I include my own terms, conditions, and branding on quotes?
Yes. You can fully customize your quote templates with your logo, colors, and company information. You can also add your own terms and conditions, payment policies, and notes at the bottom of each quote.

Can I add custom fields (e.g., project type, PO number) to quotes or deals?
Yes. You can add as many custom fields as you need to quotes, deals, contacts, and even templates. This allows you to capture project-specific or industry-specific data that’s not included by default in the system.

Can Osmos handle taxes (VAT, GST, QST, etc.) automatically?
Yes. You can add taxes independently to each item, and you can create as many tax types as you need. Osmos automatically calculates each tax and displays the totals and subtotals at the bottom of the quote for accuracy and transparency.

Can I add a quote request form on my website?
Yes. Osmos includes an eQuote feature that lets you add a customizable quote request form to your website or share it as a direct link. When a client submits the form, Osmos automatically creates a new quote draft inside your workspace.

Can I add a lead form on my website that connects to Osmos?
Yes. You can embed or share a lead form the same way you do with quotes. Submitted leads are automatically recorded in Osmos and linked to your pipeline, allowing you to follow up and send quotes quickly.

If I currently use Excel for quotes, will Osmos work for me?
Yes. Osmos is a great next step if you currently manage quotes in Excel. You can import your item list and contacts directly into Osmos, saving time while keeping the simplicity of structured data. The platform automates the repetitive parts of quoting while keeping full control over content.

Can Osmos send reminders for expiring quotes or unpaid invoices?
Yes. You can enable automatic reminders for quotes that haven’t been accepted or for pending payments. The system can send reminders to clients or internal users at specific time intervals you define.

Can I record payments in Osmos?
Yes. You can record payments manually or automatically if you use Stripe. Each payment is linked to the corresponding quote or invoice so you can track outstanding balances easily.

Can I accept credit card payments in Osmos to collect payments?
Yes. Osmos integrates with Stripe to allow credit card payments directly from the quote link. Once a payment is completed, the transaction details are saved automatically under that client’s record.

How do clients receive the quotes?
Clients can receive quotes in two ways. The most common is by email, which includes a secure link to view the full quote in their browser and download a PDF. If you have the WhatsApp integration, you can also send quotes directly through WhatsApp — clients can open the same web link, view the quote, and download it as a PDF from their phone.

Can I design my own quote template in Osmos?
Yes. You can create and customize your own quote templates in Osmos and even maintain multiple versions with different designs for various product or service types. The template builder uses a drag-and-drop interface with more than 30 available fields, plus support for your own custom fields. You can fully adjust the layout, branding, and structure to match your company’s style and offerings.
